1. User Attributes for Improved Rights and Index Profiles Management

   I would like to suggest the addition of configurable user attributes in DocuWare. These attributes could either be fixed (system-defined) or custom (administrator-defined) and assigned directly to users.

   For example:

   A Manager attribute that stores the login of the user’s manager, referencing another DocuWare account.

   A Department/Service attribute where administrators can set a fixed value.

   These attributes could then be used in index profiles and rights management. For instance, if the index field SERVICE contains the value defined in the user’s SERVICE attribute, the user would automatically have access according to that rule.

   This would greatly simplify the administration of rights, make it more dynamic, and reduce the need for complex manual configurations.

2. API methods to create roles / groups / File Cabinet

   Hi,

   I need to create roles / groups and File Cabinets easily and quickly. To do so it would be nice to have the API method.

   I know it's not recommend to use the method I can found in the web browser (for instance : DocuWare/Settings/SettingsService.svc/jwt/SaveRole).

   I kind of understood that I need to get the token with the grant type "authorization_code" to use such kind of request. I understood that you are not willing to give that method to the community yet.

   In my current project I had the idea to have an Axon Ivy over Docuware to materialize the complex HR processes the client needs. Docuware and Axon Ivy would have work perfectly for our business case.
   However, that's not possible until I have these API methods. Please provide them to the community !

4. Speichern einer Tabelle innerhalb einer Aufgabe, ohne diese hierfür abschließen zu müssen

   bei größeren Rechungen müssen teilweise bis zu 100 Kontierungszeilen erstellt werden. Hierbei wäre es von Vorteil wenn man diese zwischendurch speichern könnte ohne hierfür die Aufgabe im Workflow abschließen zu müssen.

5. Outlook wird bei teilen per E-Mail gesperrt

   Wenn über die Funktion per E-Mail teilen ein oder mehrere Dokumente verschickt werden sollen, dann öffnet sich ein neues Mail Fenster (bei uns und den meisten Kunden Outlook). Leider blockiert dieses Fenster das komplette Outlook und es kann nichts anderes gemacht werden. Das sollte doch definitiv 2023 besser zu lösen sein?!

   Für einige unserer Kunden ist es ein kritisches Problem, da hier viele Dokumente verschickt werden müssen und der Umweg über Download und selber eine neue E-Mail erstellen einige Klicks mehr erforderlich macht als nötig.

8. Change data export preview to limit number of rows displayed

   Please limit the number of rows displayed when previewing an export data configuration. It often times out forcing you to run the report to see the actual output, which can be time consuming on larger data sets.

10. DW Platform login with JWT token

    Since we have the option to use REST services, it would be nice to be able to use DocuWare platform with REST requests in Workflow Designer. This is not possible at the moment. If we could create API users or just be able to retrieve token > store in GV and use it for next request. This would extend the possibilities in workflow designer and in some cases it would not be necessary to program and host own Web service.

11. Daten-Export Sortierung

    Es wäre hilfreich, wenn man im Daten-Export Modul die Sortierreihenfolge der Daten angeben kann, damit diese nach dem Export bereits sortiert sind.

    Beispiel:
    Es sollen die Spalten Datum, Mitarbeiter und Grund exportiert werden. Im Daten-Export Modul kann man an einer Stelle konfigurieren, dass zuerst absteigend nach Datum und dann aufsteigend nach Mitarbeiter sortiert wird.

12. Add a recycle bin for any deletions taking place on docuware with a configurable retention date in the bin.

    Add a recycle bin for to store anything deleted for x amount of days
    (x) admin configurable option, we had an issue where a webform/ merge form were deleted and had to be re designed from scratch, would be nice to restore from somewhere

13. Komplexe Filter in Export-Konfigurationen

    Im Export sind komplexere Filter nötig (strukturiert UND / ODER) ähnlich dem Regeleditor in Listenkonfigurationen.

    Beispielsweise ist jeder Dokumententyp manuell auszuschließen (ist nicht gleich) anstatt eine Positiv-Liste führen zu können, für welche Dokumententypen diese Export-Konfiguration gelten soll.

    Dennoch sind zu dieser Oder-Verknüpfung zusätzliche Und-Bedingungen erforderlich, können aber nicht konfiguriert werden.

16. Folgefelder anhand Indexierung automatisch befüllen

    Beim Ablagedialog ist eine eine Mehzeilige Auswahlliste hinterlegt.

    Folgendes Verhalten würde sehr hilfreich sein.
    Wenn in dem Feld z.B. die Kundennummer eingegeben wird sollen die folgefelder automatisch gefüllt werden sobald ich das führende Feld verlasse.

17. Function to lock a fillable PDF in the workflow to prevent further modification

    The overall process surrounding the question is a PO Form, which I’ve created in DocuWare. That form triggers an Approval workflow. In the workflow I also add line totals, overall total and the name of the final approver onto the fillable PDF document. Once the document is approved, the workflow sends the PO to the supplier. The problem is that at this moment the order is still fillable… I need that document to be a non-fillable PDF… Problem is that I can’t create the non-fillable PDF with the form as I then can’t add the line totals etc. to the form in the workflow…So, an option to lock the PO via the workflow would be the perfect solution.

19. HyperLink Stempel

    Guten Tag,

    es wäre hilfreich, wenn man einem Stempel die Funktion „HyperLink“ hinzufügen könnte.
    Diese HyperLinks können dann per Klick aufgerufen werden, um z.B. eine Webseite oder ein DW-Dokument zu öffnen.

    Szenario:

    Bei der Prüfung von Kontoauszügen / Kreditkartenabrechungen müssen wir auf die assoziierten Belege verweisen.
    Eine Dokumentverknüpfung würde hier lediglich die Ergebnisliste mit vielen Dokumenten anzeigen und man gelangt nicht direkt auf den anzuzeigenden Beleg der Abrechnungszeile. (→ kein intuitiver Flow)

    Gleiches z.B. gilt, wenn man von einem DW-Dokument direkt auf Intra/Extranet Links zugreifen will.

    Natürlich wäre es dann auch von Vorteil, wenn der Benutzer beim Setzen des Stempels für DW-Dokumente nicht den Dokumenten-Link einfügen muss, sondern die richtige DWDocID auswählt und im Hintergrund dann der HyperLink erzeugt wird.
    Für externe HyperLinks dann natürlich mit Eingabemaske (Link / Beschreibung).

20. Workflow Dashboard for Reporting / Monitoring / Analysis

    Provide a dashboard for the workflow that would allow an administrator or department manager the ability to view the status of all the documents in the workflow, see who has the document, how long they have had the document and provide the outputting of a full report on documents in the workflow with this information in a format that would allow the user to review the workflow activity to determine if there are bottlenecks, people not doing their jobs, more accurate tracking of time to process documents, etc.
