Function to lock a fillable PDF in the workflow to prevent further modification
The overall process surrounding the question is a PO Form, which I’ve created in DocuWare. That form triggers an Approval workflow. In the workflow I also add line totals, overall total and the name of the final approver onto the fillable PDF document. Once the document is approved, the workflow sends the PO to the supplier. The problem is that at this moment the order is still fillable… I need that document to be a non-fillable PDF… Problem is that I can’t create the non-fillable PDF with the form as I then can’t add the line totals etc. to the form in the workflow…So, an option to lock the PO via the workflow would be the perfect solution.
Thank you for your idea. We added it to our collection of ideas and features and will further investigate it. We currently cannot say exactly when this idea will be implemented. As soon as we have more information we will update its status.

What is the status of this request ? I tend to have more and more customers that use fillable PDF as purchase orders, and this functions tends to lack a lot.
Please let us flatten the PDF once it as finnished with all editable fields within the same workflow instance.
It's a bad idea to use this outside or even inside DW organization since anyone can edit the fields.
At least a web service call to an external rest api would be nice.

Can you add the option to send the document as either a fillable or flattened pdf after writing data to the merge form, like for instance a invoice that has to be sent from DocuWare . You don't want the client changing the values on the invoice. It would be nice to add the option in the email step in the workflow to either select from a fillable pdf or a flattened pdf file as per attached screenshot.

Right now my client submits a merge form which a workflow then populates with additional data. The problem is that they want these documents to be read-only after the workflow is finished -- that way they can use "Send" to email read-only PDFs directly out of DocuWare. Right now they have to use an external program like "Microsoft Print to PDF" to generate a read-only PDF, then manually drag it into their email client.
The best option would be to have a "flatten PDF" node in workflow that makes the PDF read-only. That way I can put that at the end once the workflow is completed.
