Audit in document tray.
As document tray is a part of Docuware system, we need an audit fonctionnality.
As part of our continuous improvement process, we have identified the need to strengthen your DocuWare configuration regarding audit trail management and supporting document retention.
Currently, some document types arrived in document tray without complete traceability. This creates gaps in the reliable audit trail and limits our ability to retrieve and validate records efficiently during internal reviews or audits.

When entering dates in a date field, as soon as a month value is entered, the day and year autofill with today's day and year.
If users want to insert today's date, they will type an 'x'. Having the system auto-filling today's day and year greatly increases the chance for errors.
PLEASE change the functionality of date fields to match all other popular programs. A date field should be one single field when entering and not 3 separate fields. Trying to edit a mistyped date is very tedious!

Add permission to assign licenses in a function profile
I would like to see a separate permission to assign user licenses. It is currently only available to organization administrators. Org admin role gives a user full access to configure the entire system. I have IT people that manage licenses that do not need full system access.

URL Integration to open DocuWare Viewer with index dialog
The client needs a URL integration that opens the document in the DocuWare Viewer and also displays its metadata (Index dialog) in a new window. This functionality exists today, but it is configured per user in their preferences rather than as a setting within the viewer itself.

Auswahllistensortierung in der Suchmaske im Dialog einstellen
Hallo Zusammen, unser Kunde wünscht sich die Möglichkeit, die Auswahlisteneinträge der Standartauswahlliste innerhalb der Suchmaske anders sortieren zu können. Derzeit ist es fix hinterlegt, dass Einträge nur alphabetisch aufsteigend, also von der Zahl 0 bis zum Buchstaben Z angezeigt werden. Der Kunde würde dies gern in umgekehrter Reihenfolge angezeigt bekommen. Hier wäre es praktisch, wenn man dies im Suchdialog je Feld selbst definieren könnte.

Visueller Versionsvergleich für Dokumente
Es wäre von Vorteil, wenn DocuWare einen visuellen Versionsvergleich auf Dokumentebene bereitstellen würde. Nutzer sollten beliebige Dokumentversionen auswählen und deren Unterschiede farblich markiert angezeigt bekommen (z. B. neu hinzugefügt, gelöscht oder geändert).
Dies würde die Transparenz im Dokumentenzyklus deutlich erhöhen und Freigabeprozesse wesentlich vereinfachen.
Kernfunktionen sollten sein:
Auswahl beliebiger Versionen zum Vergleich (nicht nur „aktuell vs. letzte“)
Farbliche Hervorhebung von Änderungen (auch bei Bildern)
Grün = neu
Rot durchgestrichen = gelöscht
Blau = geändertDarstellung als Side-by-Side-Vergleich mit synchronisiertem Scrollen
Unterstützung üblicher Dokumenttypen (PDF, Office-Dateien (Word, Excel, PowerPoint), Textdateien und optional OCR-basierter Abgleich bei gescannten Dokumenten)

Einzelne Teile eines Dokuments im Briefkorb löschen
Die Email eines dokuments wird nach dem Ablegen in mehrere Einzelteile zerlegt. PDF im Anhang (OK), die Email selbst (OK), mehrere Grafiken/Icons als einzelne Seite aus der EMail (nicht OK).
Es wäre geschickt, wenn sich diese Einzelseiten noch im Briefkorb löschen lassen könnten.

stop importing when cloud storage is full
Can we have the DocuWare Desktop Apps import/scanner feature Stop importing when the storage is full. Customer was trying to add documents with the import tool, and all the documents were deleted, and nothing made it to the cloud because the storage was full. Now they have to re-scan all the documents. This should not happen, the document may be unique and if it is deleted after the import processes, and nothing is in the cloud, then the document is lost forever. This should a priority in the next release.

Zeilenumbrüche innerhalb der Beschreibung bei Workflowaufgaben
Es sollte möglich sein, einen Zeilenumbruch innerhalb der Workflow Aufgabe bei den Dialogfeldern "Beschreibung"->"Vordefinierter Eintrag"->"Text" einzufügen. Anstatt das für jede Information ein eigenes Dialogfeld benötigt wird, könnte man alles in eins zusammenfügen, was den Aufwand reduzieren würde.

Angeklammerte Dokumente in Übersicht auch als Text (Inhaltsverzeichnig) anzeigen
Übersicht der angeklammerten Dokumente sollte mit Inhaltsverzeichnis als alternative zu Miniaturen verbessert werden. Miniaturen sind nicht wirklich verständlich, wenn man viele Dokumente hat. Man muss den Dateiname sehen, oder die Überschrift für Inhaltsverzeichnis selbst beim Anklammern vergeben.

Feature "Einloggen als ...User xy", um Berechtigungen sofort zu prüfen.
Wie in anderen Software, zB Personio, wäre es gut, wenn Admin sich als User einloggen könnte, um zu gucken, dass der User alle notwenigen Berechtigungen hat und das Nötige sieht und das Irrelevante nicht sieht. Das würde die Administration um tausendfaches vereinfachen und nach vorne bringen.

DocuWare soll Dokumente KI-gestützt analysieren, kompakte Zusammenfassungen sowie kontextbezogene Hervorhebungen bereitstellen und zusätzlich mögliche Verknüpfungen zu inhaltlich passenden Dokumenten vorschlagen.

One-Click/-Touch Indexing und Copy-&-Paste-Funktion in DocuWare Mobile
Es wäre von Vorteil, wenn mobile Nutzer in DocuWare Mobile die Möglichkeit hätten, Text direkt im Dokument zu markieren und diesen über die Aktion „In Indexfeld übernehmen“ gezielt in ein auswählbares Indexfeld zu schreiben. Dabei sollten Funktionen zum Überschreiben oder Ergänzen bestehender Werte sowie eine Validierung entsprechend dem jeweiligen Feldtyp unterstützt werden.
Ergänzend dazu sollte das Kontextmenü für markierten Text eine native Copy-&-Paste-Funktion bereitstellen, mit der der markierte Text in die System-Zwischenablage kopiert werden kann, um ihn flexibel in weitere Indexfelder oder externe Anwendungen einzufügen.

When using StorageRobot, it would be great to be able to use a single Index file to update multiple documents instead of needing a index file for each document that needs to be updated.

Implement the ability to give dynamic names on document relations
When a user opens several time the same document relation, starting from different documents, all the tabs have the same name.
I would be a great addition to have the ability to display different names. For example, we could choose one of the indexes to identify the document that the user was looking at before clicking the relation.

Add "Read out loud" functionality similar to Adobe Acrobat
This is required to meet the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA requirements which ensure web content is Perceivable, Operable, Understandable, and Robust (POUR) for users with disabilities. It includes all 2.0 A/AA standards plus 12 new criteria focused on mobile, low vision, and cognitive disabilities, such as Reflow, Text Spacing, and Non-text Contrast. Request to Improve DocuWare Field Mask Validation to Detect and Reject Spaces
In the definition of DocuWare field masks, it is currently not possible to reject space characters.
According to the following community forum post, field masks are unable to properly evaluate or detect spaces.
We would like to request an enhancement to the DocuWare field mask definition so that it can include logic capable of detecting and validating inputs that contain spaces, such as half-width (ASCII) spaces.

User Sync to AD should allow you to create user name using email address.
Currently in User Sync v2 there is no way to use the "mail" attribute to create the Docuware username...this prevents 3rd party authentication such as OKTA from working correctly based upon how a company is using OKTA and how they have it licensed.

Anzeigen von Anhängen einer eRechnung
bei E-Rechnungen werden oft auch Anhänge in der XML Datei oder in der ZUGFeRD Datei versendet (PDF in PDF).
Oftmals ist hiermit eine Leistungsbeschreibung enthalten, die der Kunde bei der Freigabe einer Rechnung sichten muss.

Einführung von Passkeys zur Authentifizierung
Es wäre von Vorteil, wenn Passkeys als alternative Authentifizierungsmethode in DocuWare verfügbar wären. Dies würde die Sicherheit erheblich erhöhen, da Passkeys aktuell nicht gestohlen oder durch Phishing-Angriffe kompromittiert werden können. Zudem könnten sich Benutzer und Organisationen ohne Single-Sign-On einfach und sicher anmelden, ohne komplexe Passwörter merken zu müssen.
