1. DocuWare Server Migration | Archive übertragen vereinfachen | DocuWare on premises > Cloud übertragung

   DocuWare Server Migrations-Projekte sind sehr zeitaufwändig.

   Uns erreichen mehrere Anfragen von ADPs, die Ihre Kunden auf neue DocuWare Versionen upgraden wollen.

   Zunächst wäre es hilfreich, wenn es in der DocuWare Knowledgebase eine neue KBA-Artikelzusammenfassung zu Server Migrationen gäbe. Hier sollten die verschiedenen Wege beschrieben sein und die relevanten KBA Artikel (Beispiel: https://support.docuware.com/de-de/knowledgebase/article/KBA-36247) verlinkt sein.

   Außerdem sollte es eine einfache und supportete Lösung geben, Archive auf den neuen Server / Cloud versionsübergreifend zu übertragen. Hier gibt es verschiedene Wege, die alle mit technisch bedingten Einschränkungen verbunden sind.

   Ein neuer iterativer Weg über die Web-Konfiguration, der Tabellenfelder/Versionen/Einstellungen vergleichen und ggf. sogar anlegen kann, würde den Admins und auch dem DocuWare Support einiges an Arbeit ersparen.
   Eine klares und verständliches Logging von dieser Übertragung, würde es erheblich vereinfachen.

2. Löschen von zero-width space vor Suchbegriffen

   So wie auch Leerzeichen vor einem Suchbegriff in der Suche automatisch entfernt werden, sollten auch ähnliche Zeichen wie bspw. zero-width spaces automatisch entfernt oder beim Erstellen der Suchergebnisse ignoriert werden.
   Da es bei uns teilweise vorkommt, dass beim Kopieren aus Dokumenten ein Leerzeichen oder zero-width space mit kopiert und in die Sucheingabe eingefügt wird. Spaces vor einem Suchbegriff werden bei der Suche ignoriert, allerdings funktioniert dies noch nicht für die zero-width spaces.

   Das gleiche Problem tritt beipielsweise auch beim Erstellen von neuen Einträgen in einem Archiv auf, wenn ein zero-width space aus einer anderen Quelle kopiert und damit der neue Eintrag erstellt wird. Zukünftig kann dieser Eintrag dadurch nicht gefunden werden, außer man nutzt Wildcards.

   Durch dieses Verhalten lässt sich aktuell die Suche nicht verlässlich nutzen, da die User unterschiedliche Ergebnisse mit scheinbar gleichen Suchbegriffen erhalten.

3. Workflow

   We would like to have the possibility for the users to see the "Assigned to" system variable in their workflow dashboard in the web client. There is a possibility to write the system variable to the index field and then to display this index field in the dashboard, but the index field can only get updated once we have moved to the next task or block in the workflow. But our use case relies on using the "Reassign" option while remaining in the same task. This is why we would need the option of showing the system variable to the users in the webclient.

4. Rechnen mit Datumsfeldern in Formularen

   Es wäre hilfreich, wenn man im Formular mit Datumsfeldern rechnen könnte, so dass z.B. nach Eingabe von Start- und Enddatum die Reisedauer errechnet wird. Dadurch ließe sich dynmisch für jeden Tag eine Formularzeile anzeigen oder auch Überschriften mit den konkreten Datumswerten ausgeben.

5. Dynamische Pflichtfelder im Ablagedialog

   Abhängig von eingegebenen Werten in einem Ablagedialog sollte geprüft werden, ob die notwendigen Pflichtfelder gefüllt sind. So können z.B. abhängig von der eingegebenen Dokumentart unterschiedliche Pflichtfelder definiert werden.

   Dies ist besonders Sinnvoll wenn für verschiedene Dokumentarten verschiedene Pflichtfelder notwendig sind. So haben z. B. Ausgangsrechnungen andere Pflichtfelder als Eingangsrechnungen.
   Aktuell muss so für jede Dokumentart ein separater Ablagedialog angelegt werden, was die Anzahl der Dialoge in komplexen oder bei mehreren Archiven für die Anwender deutlich erhöht und so die Übersichtlichkeit einschränkt.

6. Support for OAuth for SMTP Configuration

   Dear DocuWare Team and Community Members,
   I would like to propose an urgent improvement that can significantly enhance the security and reliability of DocuWare. Currently, DocuWare only supports SMTP Basic Authentication for SMTP configuration. While this is undoubtedly a convenient method for sending emails, it may no longer be sufficient in today's increasingly interconnected and security-conscious world.
   Microsoft and other industry leaders recommend the use of OAuth for secure communication with email servers. OAuth provides additional protection against unauthorized access and security risks that can arise when using Basic Authentication. The implementation of OAuth for SMTP configuration in DocuWare is essential for all DocuWare users who wish to follow Microsoft's recommendation to disable Basic Authentication in their Exchange Online.
   Here are some reasons why supporting OAuth for SMTP in DocuWare is of great importance:
   1. Security: OAuth offers a higher level of security by making access to email accounts more secure and authenticated.
   2. Compliance: Using OAuth aligns with current best practices and security standards, which are crucial for many industries and businesses.
   3. Reliability: OAuth provides a more reliable authentication method that is less susceptible to issues related to passwords and security breaches.
   I encourage all members of the DocuWare community to support this proposal for increased security and reliability in our DocuWare system.

   Ich möchte eine dringende Verbesserung vorschlagen, die die Sicherheit und Zuverlässigkeit von DocuWare erheblich erhöhen kann. Derzeit bietet DocuWare nur die Möglichkeit, SMTP Basic Authentication für die SMTP-Konfiguration zu verwenden. Dies ist zweifellos eine praktische Methode, um E-Mails zu senden, aber in der heutigen zunehmend vernetzten und sicherheitsbewussten Welt reicht dies möglicherweise nicht mehr aus.
   Microsoft und andere Branchenführer empfehlen die Verwendung von OAuth für die sichere Kommunikation mit E-Mail-Servern. 8. Allow users to search a range of addresses

   It would be nice to have the ability to search for a range of numbers, say we have data for 1 Main St through 10 Main St, and have the information for just the data in this range.

10. Recycle Bin

    Items we delete from DocuWare are archived, for this reason we do not need to keep items in the recycle bin for 30 days. We suggest to be able to amend the time period to keep or to activate or deactivate the functionality as it does take extra storage which we now have to manually sit an delete. A search option on the deleted items will also be handy to make it easy to restore a specific item.

11. Gruppen/Aufklappbare Reiter für AutoIndex, Dokumentenverarbeitung etc. ermöglichen

    Es wäre zwecks Übersichtlichkeit von Vorteil, wenn man in der Konfiguration von AutoIndexen, Dokumentenverarbeitungen, Dokumentverknüpfungen etc. diese (optional) in Gruppen bzw. aufklappbare Reiter (1-2 Ebenen) zuordnen könnte. So könnten zusammenhängende AutoIndexe schneller gefunden/verstanden werden.
    Es gibt Kunden, welche weit mehr als 100 AutoIndexe benötigen. Würden nun statt den 100 AutoIndexen nur 10-15 Gruppen angezeigt, müsste man nicht scrollen oder den Filter benutzen.
    Das Filtern kann beibehalten werden und bei der Suche nach dem AutoIndex die Ebenen mit anzeigen.

13. Dynamic Text Size for a Merge Field

    Please add an option for the text size to be Dynamic. Basically when the text entered on the feild is longer than what is on the Merge Document, then the text gets cut off. If there was a simple check box for Dynamic text, then when the text entered on the form was longer than the merge document field, it would automatically resize small enough to fit into the merge field.

14. Store Gmail Directly to Docuware

    Storing information from Outlook is easy with Desktop Apps. We need something just as easy for Gmail. Many K-12 and other business are making the switch to Gmail and Chrome books, sometimes MAC OS. We need an easier way to store documents. At the moment the cloud is a big movement, and customers don't want to use local storage, or print documents and then scan them in just to store to Docuware. Please consider providing easy storage from Gmail to Docuware. (explored IMAP, but for security reasons customers are turning this feature off) Thank-you!

15. "Recently deleted" needs filtering

    I greatly appreciate the new "recently deleted" feature, however, it would be nice to be able to choose what goes there or maybe to filter out things. Tracking down a deleted document in a sea of scan mistakes is cumbersome.

16. Keep first page field data for entire batch when additional split by doctype

    It would be great to have a check box in Document Processing in the Split on section that says keep fiest page data. This way for back file scanning a first page with the bulk if the field data for a personnel file can be created and then additional split sheets can be created for just the document type. So one batch scan would file an entire employees file but break it into doctype with all the field data from the first page.

18. Stempel - Mehrzeilige Textfelder

    Es wäre von Vorteil, wenn man in einem Textstempel ein mehrzeiliges Textfeld hinterlegen könnte. So müssten bspw. nicht mehrere einzeilige Textfelder untereinander angebracht werden.

    Verbesserung der URL-Anzeige für tiefere Einstellungsebenen in DocuWare

    Um unseren Kunden als ADP effizienter unterstützen zu können, schlagen wir vor, dass die DocuWare Web-Konfiguration direkte Links in der URL für tiefere Einstellungsebenen anzeigt. Dies würde es uns ermöglichen, spezifische Konfigurationsseiten direkt zu verlinken und so die Unterstützung und Kommunikation über E-Mail zu erleichtern.

    Beispiel: Wenn ein Benutzer auf die Archive klickt, sollte die URL so aussehen: https://presentationvm/DocuWare/Settings?link=FileCabinetAdmin

    Um unseren Kunden als ADP effizienter unterstützen zu können, schlagen wir vor, dass die DocuWare Web-Konfiguration direkte Links in der URL für tiefere Einstellungsebenen anzeigt. Dies würde es uns ermöglichen, spezifische Konfigurationsseiten direkt zu verlinken und so die Unterstützung und Kommunikation über E-Mail zu erleichtern.
