1. Beim Teilen per Email soll das neue Outlook (PWA) von Edit & Send unterstützt werden

   Noch wird der normale Outlook (classic) Client bis 2029 unterstützt werden. Allerdings gibt es einige Kunden die mittlerweile Verträge nicht unterschreiben, da der Mail Versand an sich so momentan nicht funktioniert.

   Actualmente, el formulario web no cuenta con una funcionalidad de vista previa al momento de adjuntar documentos. Se propone incorporar esta opción, con el fin de que el usuario pueda validar el archivo antes de enviarlo, reduciendo errores y reprocesos asociados a documentos incorrectos o incompletos.

3. Klammern von einzelnen Dokumenten aus dem Briefkorb an bestimmte Bereiche eines im Archiv befindlichen Dokuments

   Es geht um das Klammern von Dokumenten aus dem Briefkorb an ein bestehendes Dokument im Archiv. Bislang ist es möglich, über den zweiten Arbeitsbereich das anzuklammernde Dokument auf ein im Archiv bestehendes Dokument zu ziehen und das anzuklammernde Dokument dann vor oder hinter dem Archivdokument anordnend zu klammern. Genau an dieser Stelle wäre es sehr praktisch, wenn nicht nur vor oder hinter das Dokument geklammert werden kann, sondern die Möglichkeit besteht, (bei bereits geklammerten Archivdokumenten) zwischen den Dokumenten zu klammern.

   Beispielsweise liegt im Archiv ein geklammertes Dokument mit Hauptdokument und Anhang vor. Der Kunde möchte ein zusätzliches Dokument zwischen Hauptdokument und Anhang klammern OHNE den gesamten Weg über das Check-In in den Briefkorb gehen und das Dokument vollständig zerlegen zu müssen.

4. Provide RSS feeds for DocuWare Cloud service status and incidents

   We would like to request the implementation of RSS (or equivalent webhook-based) feeds for DocuWare Cloud service status and incident updates.
   Currently, DocuWare Cloud service availability and incident information is published only via the web-based Status Portal. While this page is useful for manual checks, it is difficult to integrate into automated monitoring, alerting, and internal communication workflows used by many customers.
   Providing an RSS feed (or webhook / API-based status updates) would allow customers to automatically monitor service status changes and react more quickly to incidents.

   GEWÜNSCHTE FUNKTIONALITÄT

   Es sollte möglich sein, in der Versionsübersicht eine frühere Version nur in Bezug auf die Datei(en) zur aktuellen Version zu machen, ohne dass dabei die aktuellen Indexdaten verändert oder überschrieben werden.

   Idealerweise sollte es dafür eine der folgenden Möglichkeiten geben:

   a) Eigene Funktion wie "Zur aktuellen Version machen (nur Datei)"
   b) Auswahl beim Wiederherstellen:
   - Datei + Indexdaten zurücksetzen
   - nur Datei zurücksetzen
   c) Konfigurationsmöglichkeit für Administratoren zur Steuerung dieses Verhaltens

   WARUM DAS WICHTIG IST

   In der Praxis besteht häufig der Bedarf, einen älteren Dateistand wiederherzustellen, zum Beispiel weil:

   • eine Datei versehentlich falsch geändert wurde
   • ein früherer Dokumentinhalt wieder benötigt wird
   • ein Bearbeitungsstand der Datei zurückgesetzt werden soll

   Dabei sollen jedoch die zwischenzeitlich gepflegten aktuellen Indexdaten erhalten bleiben, da diese oft den korrekten und aktuellen fachlichen Stand darstellen.

   AKTUELLES VERHALTEN

   Aktuell führt die Funktion "Zur aktuellen Version machen" in der Versionsübersicht dazu, dass beim Wiederherstellen einer älteren Version nicht nur die frühere Datei bzw. der frühere Dokumentinhalt wieder zur aktuellen Version wird, sondern gleichzeitig auch die Indexdaten auf den damaligen Stand zurückgesetzt werden.

   Das führt dazu, dass aktuelle Indexwerte durch veraltete Werte überschrieben werden können, was in der Praxis zu Fehlern und zusätzlichem manuellem Aufwand führt.

   BESONDERS KRITISCH BEI DRITTSYSTEM-ANBINDUNGEN

   In vielen Szenarien werden Indexdaten aus führenden Systemen (z. B. ERP, CRM, Fachanwendungen) übernommen und regelmäßig synchronisiert.

   Wenn durch die Funktion "Zur aktuellen Version machen" die Indexdaten auf einen alten Stand zurückgesetzt werden:

   • stimmen die Indexdaten nicht mehr mit dem führenden Drittsystem überein
   • es entstehen Inkonsistenzen zwischen Systemen
   • nachgelagerte Prozesse oder Schnittstellen können fehlerhaft laufen

   Bei Integrationen mit ChangeToken oder ähnlichen Mechanismen ergeben sich weitere Risiken: Änderungen an Indexdaten werden häufig über ChangeToken-/Delta-Mechanismen erkannt und verarbeitet.
   - ein Rücksprung auf alte Indexwerte kann dabei nicht korrekt als Änderung interpretiert werden
   - es kann zu fehlenden Updates, Endlosschleifen oder fehlerhaften Synchronisationszuständen kommen

   GEWÜNSCHTE FUNKTIONALITÄT

   Es sollte möglich sein, in der Versionsübersicht eine frühere Version nur in Bezug auf die Datei(en) zur aktuellen Version zu machen, ohne dass dabei die aktuellen Indexdaten verändert oder überschrieben werden.

   Idealerweise sollte es dafür eine der folgenden Möglichkeiten geben:

6. Extending the (REST) API to be able to use an Edit dialog while Updating Index values

   When storing data via the REST API, you can use a Store Dialog. With this dialog you can make sure data is being stored correctly via all the rules and selection lists etc. that are configured in the dialog. (to prohibit other values to be put in)
   What however is a massive shortcoming is if you want to update index values. In this case you are not able to use a dialog. This means an API Update Index command can send incorrect data into the system, even though you have configured all kinds of business logic in DocuWare. This means you would have to configure and maintain this logic both internally as externally in another system.

   It would be a very solid feature if we could use a parameter with this command and use an edit dialog when updating index values. This way we can make sure no incorrect data is being uploaded and business logic configured in DocuWare is being used and validated.

   Die Anwender finden es immer wieder gut, wenn man bei einer Dokumentenablage den ausgewählten Ablagedialog lesen kann, nicht nur das Archiv. Gerade in komplexeren Strukturen sehr hilfreich.

8. Improve user notification when Desktop Apps stop unexpectedly

   Currently, when Desktop Apps stop unexpectedly, for example due to DocuWare login issues, no notification is sent to users by the system. As a result, users become aware of the issue only after job failures have occurred.

   Even if the system cannot directly detect whether Desktop Apps have stopped, it would be very helpful to provide some form of notification or guidance to users. For example, when a login error occurs, displaying a message such as:
   “Desktop Apps may not be running. Please check the status and manually restart Desktop Apps if necessary.”

   This kind of notification would help users identify the situation more quickly, reduce troubleshooting time, and prevent confusion caused by unexpected job failures.

9. Custom Actions in Web Client (Toolbar & Context Menu Integration)

   Introduce the ability to define and execute custom actions directly from the DocuWare Web Client UI, both in the toolbar (right panel) and in the document context menu (right-click).

   Today, integrating external systems or custom logic (e.g. AI processing, OCR correction, data enrichment, or external workflows, whatever ) requires indirect approaches such as workflows, external links, or background automation. These solutions are powerful but not always intuitive for end users and lack a seamless user experience.

   The proposed feature would allow administrators to configure custom actions that:

   Appear as buttons in the toolbar and/or as items in the right-click context menu
   Can call external APIs (REST endpoints)
   Automatically pass document metadata (e.g. DocID, CabinetID, index fields)
   Optionally receive a response and update document index fields
   Support permission control and role-based visibility
   Provide user feedback (success, error, processing state)

   Example use cases:

   “Analyze with AI” → sends document to an AI service and writes back extracted data
   “Send to external system” → integrates with ERP/CRM or document validation services
   “Fix OCR” → triggers a custom OCR correction service
   “Export / Sync” → pushes document to external repositories

   This feature would significantly improve extensibility, reduce reliance on complex workflows for simple actions, and enable a more modern, interactive user experience aligned with current integration needs.

   This would align DocuWare with modern platforms that allow UI extensibility and would unlock many integration scenarios without requiring workaround implementations.

10. Add the posibilty to fill keyword fields (German Stichwortfeld) via forms

    When indexing documents via forms, I can only populate a keyword field (not sure about the correct English term for the German "Stichwortfeld") with content from a single text field. Please provide the option to combine content from multiple text fields into one keyword field, or—ideally—allow keyword fields directly in the form.

11. Allow select list filtering against system fields

    It would be useful to have the ability within Forms, to use multi-column select list filtering against system fields so users cannot see or select data other than their own previously stored data.
    For instance, filter the dataset based on the original store user against the 'logged in user' initiating the form thereby eliminating #2 user from displaying the data previously stored by user #1.

    Customers often work with documents that contain a large number of pages and have a need to quickly navigate to specific sections. Having the ability to add bookmarks or notes would significantly improve usability and efficiency when accessing important pages.

15. die Anzeige von ZUGFeRD im Viewer zuerst die visualisierte e-Rechnung und dann erst das pdf angezeigt wird.

    Kunde bekommt Zugferd-Rechnungen und im Viewer ist zuerst das pdf und als nächstes Dokument die visualisierte e-Rechnung zu sehen.
    Hier kommt es bei diversen Lieferanten vor, das der angezeigte Inhalt vom pdf nicht mit den Daten der e-Rechnung übereinstimmt
    und man dies erst beim ‚durchblättern‘ oder wechseln auf das nächste anhängende Dokument erkennen kann.
    Da die e-Rechnung die steuerlich relevante Eingangsrechnung ist, kann das der Bearbeiter nicht sofort (also auf den „1. Blick“)erkennen, und hat ggf. bereits
    im Workflow die falsche Entscheidung getroffen (weitergeleitet – statt abgewiesen) hat.

16. Support JWE as a method to encrypt URLs

    Currently, Docuware supports a rather .NET specific method for encrypting URLs. We have an application that should retrieve documents from Docuware using URL integration. This application natively supports Java Web Encryption (JWE) to encrypt (parts of) a URL. This is not compatible with the way Docuware expects URLs to be encrypted. Since JWE is a standard (RFC 7516) that is widely used by many applications, I think supporting it could be of real benefit to customers. Ideally, the encryption method should be configurable on the Docuware server.

    We had to resort to implementing a URL redirector: this takes a JWE-encrypted URL and rewrites this using the Docuware encryption algorithm and then redirects the (application-internal) browser to the Docuware URL. This introduces an unwanted dependency on a third application that we would really want to eliminate.

17. Welcher Weg wird beim Workflow genutzt und welcher weniger?

    Es sollte eine Möglichkeit geben zu erfahren welchen Weg die Dokumente beim Workflow nehmen! Damit meine ich man baut Wege beim Workflow die evtl. kaum genutzt werden? Wenn man nun plastisch sehen könnte das 95% der Belege DIESEN oder eben DIESEN weg nutzen, könnte man feststellen, welcher Weg im Workflow unnütz ist, und man könnten eben diesen Weg weiter verbessern

    I think it would be a good idea, when a person imports files into DocuWare.
    It has a static table that has a static number to display. Instead of searching all files/imports every time you run a search.

    This figure, would incrementally increase or decrease based on adding or deleting files/imports.

    Diese Möglichkeit funktioniert hervorragend, wenn die Dokumente über ein durch die Desktop Apps überwachtes Verzeichnis importiert werden.

    Wird allerdings die gleiche Dokumentverarbeitungskonfiguration für ConnectToMail verwendet, werden nur die Metadaten zu Indexierung verwendet. Die Textboxen und Anker werden ignoriert, da der EInvoiceTransformationService anders arbeitet

20. OpenID Connect - EntraID - Authorization Code Flow implementieren

    Es wäre schön, wenn Docuware den empfohlenen "Authorization Code Flow" bei der Anbindung an ein EntraID unterstützen würde, und nicht auf dem alten "implicit flow" (ID-Token-Flow) bestehen würde.
    Wenn dieser auf Grund von zentralen Vorgaben nicht genutzt werden kann ist aktuell eine Anbindung von Docuware an EntraID unmöglich.
