1. Ability to disable Reassigning Tasks

   Please provide option to enable or disable reassigning tasks by the users. Even better, allow option to reassign to a role/group/user only or no-one. Currently, if someone mistakenly reassigns a task to someone else, that person inherits the person's privileges (stamps). i.e. an employee inherits a manager's approval stamp. This should be avoided.

2. Unable to copy File Cabinet Structure from one install to another.

   The reason for an end user to purchase DW from a reseller is to leverage the knowledge, experience & resources of said reseller. A major portion of those resources include knowing the best practices learned from other customer’s installations. When we as a reseller, develop those processes within a given market segment, it behooves us to share that knowledge with other customers with the same needs.

   So, let’s say for example, that this week I begin an install for a new customer, with a need for considerable customization of their DocuWare Installation. Because of our experience, we remember that we did something very similar for a customer last year. So we make a copy of the file cabinet structures that we did for a previous customer, as a XML file, then use the XML file as a basis for a new cabinet on the new customer’s server.

   It may seem like this wouldn’t save much time, but for County Governments in the State of Indiana, they are not allowed to actually dispose of their paper documents unless they have them also copied onto Microfilm and burn the digital images onto WORM media. DocuWare makes that possible by allowing us to limit the disk capacity size. However, when you limit the size, it doesn’t by default check the boxes to automatically create a new disk and then switch to it. When you create numerous file cabinets from scratch, it is easy to overlook those seemingly minor details. But some months down the road, when the customer is not allowed to save any more documents, it becomes a headache that could have been prevented.

   The same thing applies to File Cabinet profiles and dialogs, why should we have to recreate Read Only, or any other consistent type of profile, when they are the same 95% of the time. And we always create Accessed by, Modified by & Stored by fields and dates, which are auto-populated within the dialogues. Just the time required to set up those 6 fields to work properly for each and every file cabinet is considerable. Keep in mind, that one of our customers has over 50 file cabinets.

   Any time that you have to recreate something from scratch there is an increased chance of making mistakes.

   In every previous version we could at least copy a file cabinet structure to the same version of DocuWare or a newer version of DocuWare. Since we have never been able to copy a file cabinet to an older version, we are required to keep an old version running inside of our office. We have a division which scans paper documents for our customers, indexes them and stores them into file cabinets. We then copy the file cabinet structure from our server and use it to create the file cabinet on the customer’s server. Then we can copy the documents to baskets, upload them to the customer and easily store them in their file cabinet. To do this we can’t have a newer version of DW, than the oldest version installed on any of our scanning customer’s server.

   But lo and behold with the latest and greatest release, we can’t even copy from one version to a newer version. DocuWare is supposed to be improving, not going backward! It works all the way up to 6.1.

   Here is the following advice that I got from your technical support department:
   Unfortunately, there is nothing we can do in this case. DocuWare 6.5 made numerous changes to the database and as such the structure of the XML file changed. There is a lot of new information that is present in DocuWare 6.5, that is not present in 6.1. As such, DocuWare cannot process the older XML files. Unfortunately, there is also no conversion tool to get around this issue. One would have to be written from scratch, which is not feasible. The best suggestion that I can give you is to import that XML file into a DocuWare 6.1 system, and then to upgrade that system to 6.5. You can then export the settings file as the correct version.

   So what you’re saying is that anytime I want to utilize some existing resources from another customer, I should create a fresh install somewhere of the same version of DocuWare that the existing customer is using, then export the settings from the customer’s installation, & restore those settings into my temporary installation & then upgrade the temporary copy of DocuWare to the version that the new customer is using. Just to copy something as routine as a File Cabinet. It was bad enough that we couldn’t copy something to an older version, but we understand that is normal in the software world. But we’ve always been able to copy forward. I just copied a customer’s 4.6 File Cabinets into a new DW 6.1 install for them last month.

   Another possible workaround just came to mind. Do you need just the fields, or do you need the profiles and dialogs as well? If you need just the fields, you could import the ADF structure file. That would at least get you the fields and that file is version independent as far as I know. You can find the ADF structure file in the ‘cstcache’ folder. It should be under the ‘C:\Windows\Temp’ folder. In that ‘ctscache’ folder, you will see some additional subdirectories that are named as GUID’s. Those GUID’s are the GUID’s of file cabinets. Find the cabinet you want, and in that directory should be the ADF file. I believe this has to be done on a system that is running the Windows Client.

   If the upgrade process has the conversion tool built into it, then it would not have to be built from scratch. I just checked to make sure that I can use a XML file from way back in Version 5.1b and import it into Version 6.1. We all know there were many more database changes between those versions than between the last two.

   In general the import of a file cabinet structure works also in between different versions. However, sometimes there are bigger changes, that make this process much more complex. In these rare cases we do not see any other chance than to be only import from a similar version.

3. Import users in bulk to DocuWare cloud system

   Very important for CUSTOMERS to be able to import large numbers of users directly to the cloud system.

4. Allow entry of multiple field into a Keyword or User LIST global variable

   Currently adding a GET DATA lookup you can only add 1 entry to either a KEYWORD or USER LIST global variable.

   Example: USER LIST VARIABLE (APPROVERS) should be populated with two index fields (Field1, Field2)

   The only way of accomplishing this is creating 2 different GET DATA tasks

5. Certified Digital Electronic Signature with Stamps

   We have moved to a digital age where for compliance, regulations, or demand we must be able to sign documents with “Certified Digital Electronic Signature”. Multiple countries are applying this technology to authenticate the authenticity of the document. Can this technology or process be implemented with a DocuWare stamp?

7. Allow to create custom scripts in the workflow designers

   It would be helpfull if in the workflow activity we had a special activity called "Script".
   We should be able to write a custom DLL and call this DLL in the workflow.

   This dll could be written in VB.NET or C#, have access to the GAPI.
   In this custom script, we should be able to :
   - Retrieve (and modify) data index from the document
   - Retirieve (and modify) data index from the workflow instance
   - Export data (eg : export XML readable by an accounting software)
   - Send emails
   - Dynamically populate user(s) for next activity

   In this way we can extend the functionality of workflow.

8. Add a "Clear Form" option / button

   With the newly added auto populating of selective select list fields. The potential for an error that can not be remedied is evident. If an auto populated field is read only for example, even if you change the initially selected field via X and new drop down selection, it does not correct the other fields.

9. Add data validation for fields in Forms

   Currently there is no validation of form fields. Would be nice to be able to use reg ex and common formats in order to ensure that the data submitted from a form is in the correct format.

11. Allow a copy paste with hotkey from smartconnect

    As the smartConnect configuration might be sometimes a bit tricky, due to different screensizes, I think it would be nice to be able to overlight a text in an application, and then use a hotkey to read it and use it in a search dialog.

    Hello Mr. Tassy,
    have you tried the “Current selection” option in Smart Connect?

    When you define your search you can add a “dynamic entry” to your Indexfield. There you can select “Currentselection”.

    With this function you will be able to search for the string that is selected in the application.
    Is this what you need?

12. Automatically adding fields to ALL dialogs

    "By product redesign now a field is available in all dialogs" - DW support

    Forcibly, by the way. I have customers that have 15+ dialogs, lists, etc - and every time I add a field, I have to remove this new field from every single dialog my new field doesn't pertain to.
    Can we please bring back the functionality of choosing which dialogs a new field should belong to? Thank you

    New fields are only added to the standard dialogs. All the custom dialogs will not display the new field.

13. DW Forms dynamic sections

    With multiples sections defined in the form, ability to show/hide sections by clicking the title or depending of previous choices.
    Example : form question is "are you single or married", if user choice is married the section "husband details" with name/surname/date of birth/nationality questions is shown overwise it is hidden

14. Allow to complete a form once filled by a costumer

    DW introduce forms in 6.8. After following the webinar I had a suggestion. In 6.8 the form will be saved as PDF after it is filled in. Now, what I want is this e.g. after a costumer filled a form and send it to our company we must be able to complete the form by filling additional information. If you get this now as PDF you can not complete this. Another additional feature would be great. Once the costumer send a filled form, the department must received a e-mail notification of an incoming form saved in DocuWare.

16. Are able to automatically create baskets when a new user is synced from AD

    When using AD to sync users it would be really handy if you could choose to automatically create a Web Basket for these users.

    Currently you have to create all the users and then go and create the web baskets separately. This is ok when you are first configuring the system but later down the line it becomes an issue when the sync is on a schedule as you have no idea who does/doesn't have a basket.

17. Web Forms: Auto number to increase when the form is submitted, not opened

    The auto number used in a web form increases every time the form is opened, not submitted. I was expecting to be increased every time the form gets submitted, as we use the auto number to identify the form.

18. Forms: Select List of Users should not show deactivated Users

    We're using a dropdown on forms for the user to select their username. Unfortunately, the list shows EVERY user that has ever been created, even though several are deactivated. DocuWare should provide the means to only show Activated users.

    In 6.12, when you create a new field, il is automatically add in every dialog box.
    We need the choice to add it or not like in old admin or we lost a lot of time when we configure DocuWare.

20. Workflow Designer -> Assign Data -> Allow List Variables to be assigned more than once

    There are two ways I have found to assign list variables:
    1. from database query which returns multiple rows
    2. from multiple assignment statements without the "replace" box ticked.

    If 1. is not available, the only way to accomplish is to have a series of Assign Data activities, one per item in the list, since the List Variable is no longer available from the choices of variables to assign data, once it is used the first time.

    Creating a loop is also possible, and so far this is the best way I've found, along with using some <ugly> nested VBA in the break condition.

    Being able to assign data to a GV_ListVariable more than once within an Assign Data activity makes sense for simple lists, especially in the case where the structure is known, but the content is variable.

    I'm not determined I know how to do this properly since it's not pretty, but it is the guidance I've received.

    Is there a VB expression which can be used in Arithmetic Expression assignment to return a list variable? If you can do this I'll be floored. :o)
