   • Assign multi-column-select-lists to dropdowns
   • configure filters between dropdowns
   • autofill a dropdown in case filtering leads to only one remaining value

4. Connect to Mail must not clip different PDFs attached to email

   1. If an email is sent with different PDFs attached is because the PDFs are different documents.
   2. If the PDFs are different documents they should be individually archived
   3. When C2Mail clips them all (with no other option) a lot of human effort is required in order to archive those PDFs separately.
   4. This functionality kills the effectiveness of automatic storage given by C2Mail.
   5. If nothing else, please provide a checkbox so that the user may decide by himself whether he wants the clipping or not.

5. Multi Column Select List in Workflow Manager

   The new Multi Column Select Lists in 6.9 are nice. However you can not use them in the Workflow Manager. This should be available within workflow manager.

6. Add in a feature that allows you to export and import specific configuration settings.

   As a Docuware DSC it would be extremely helpful to be able to export and import settings and configurations such as Import configurations, predefined workflows, stamps, Docuware Printer configs, and web baskets.

   Countless hours have been wasted recreating these things for customers or waiting on access to a customer server. Adding this feature would eliminate that because we could import backup configurations and/or build them in house and then transfer them to the customers server via an import process.

   I understand that a lot of these setting are currently grabbed in a System Settings Backup, however, most of the time a full system restoration is not needed just certain parts of the system. Having those part broken out into separate exportable files that can be later imported into a system would be very helpful.

7. Build Dynamic Forms with DW Forms

   Is there a way to build dynamic forms with the forms component of DW?
   E.g. someone enters a serial number, and depending on that serial number, we show specific information related to that serial number.

8. Copy a worfklow from a File Cabinet to another

   We are working with several File Cabinets, with very common and complex workflows in the Workflow Designer. Moreover, we use DocuWare in different environments (development, test and production).
   We would really like the possibility to copy a workflow from a file cabinet to another, and/or the possibility to export and import workflows between servers.
   Our solution currently is to copy each activities of a workflow one by one to another workflow.

9. Docuware forms should have a table field that indexes a table index field

   In docuware 7.1 there is a new index field type of table. This is great except it isn't all that useful without being able to automatically enter data into the table. Our purchase order requests for example have to index a quantity, price, description, and 2 accounting codes for each line item. So currently, I have a spreadsheet that I print into docuware with a print configuration and it indexes each of those items so it can be used to import into our accounting system. I can't index the table items with the print configuration. According to your documentation page at, https://developer.docuware.com/dotNet_CodeExamples/workWithTableFields.html
   "NOTE
   Tables are only supported for Store dialogs, Index dialogs and in Workflows.
   Tables cannot be added to search dialogs and content in tables can only be found through fulltext search."

   That makes it pretty useless. If I could use the table field, I could replace 220 index fields (5 indexes a piece for 44 line items) with 1 table field. It would cut my sql code to export the data from 3740 lines down to 102, eliminate the empty index fields for line items that are not used and eliminate the limit of line items on a PO.

   If I could use a docuware form to populate the table field I could eliminate the need for the excel spreadsheet. I would think adding the table field to the form should be relatively easy. Make it either definable like a dropdown list or defined by a table field in a file cabinet. Then there would be the added complexity of populating fields in it with a select list that would also be needed in my case.

   In docuware 7.1 there is a new index field type of table. This is great except it isn't all that useful without being able to automatically enter data into the table.    Tables in Forms is available in DocuWare Version 7.9

   Calculation inside a table or with other form elements will be available with DocuWare Version 7.10

10. It would be good if you could use multi-column select lists in DocuWare Forms.

    For example you select a supplier in the first option then only the parts you can buy from this supplier are displayed in the second input option

11. Include time, not just date, when automatically populating email metadata

    The date is of limited value in an organization with lots of emails (almost everyone?). Search results can list many emails with the same date and subject, and half of them may have the same sender / receiver. To find the latest email, all must be opened and viewed. Any mail client will sort by time and be easier to use than DocuWare.

    Since version 6.9 you can use Datetime fields for storing the data.

12. Add time settings to auto refresh option of lists

    Add the option to lists to refresh at certain intervals. Not having this option has a big speed impact and results in document selection jumps during refresh.

13. Stamps and annotations in notifications Workflow Manager

    It would be an interesting idea to add the possibility to send documents with stamps and annotations attached in a task using email notifications.
    Now You only can attach the original documents on workflow tasks..

14. Allow Adminstrator to over ride a lock out

    Rather than have the user be locked for X number of minutes, the administrator should be able to unlock a user, once the Admin has identified the user. As it stands now, a user can be locked out for up to 60 minutes and the Admin cannot do anything to remedy the situation.

    Within the DocuWare Administration, it is possible to unlock a user, but it is very hard to find.

    Select the user in the DocuWare Administration and open the context menu. If the user is locked, the context menu contains an entry “Unlock”.

15. Change Password at Next Login

    It would be incredibly handy to have a feature similar to Windows where a DocuWare administrator could change a password for an end user, and then have that user prompted to change password at next login.

16. Ability to track user login to system/organization

    There is no easy way to track when a user accesses a DocuWare system. Having a option in a system\organization logging agent, or a new section to track user access to the system would be very helpful.

17. Workflow Designer: Stamp customisation

    We would like the possibility to:
    1: Make the background of stamps flat and not transparent in the workflow designer.
    2: Have the possibility in the tasks to choose which indexes of the forms are displayed in the stamp.
    We generally used information fields that are useful for the user doing a task but are useless for the stamp itself and makes the document and stamp hardly readable.

18. Add File connections and Local Data Connector connections to Workflow Engine (External Data)

    These ARE available in the on premise version and NOT in the cloud version. How are we to lookup cost centers and approver? Customers cannot maintain gigantic substitution rules they NEED data connections.

19. Ability to disable Reassigning Tasks

    Please provide option to enable or disable reassigning tasks by the users. Even better, allow option to reassign to a role/group/user only or no-one. Currently, if someone mistakenly reassigns a task to someone else, that person inherits the person's privileges (stamps). i.e. an employee inherits a manager's approval stamp. This should be avoided.

20. Unable to copy File Cabinet Structure from one install to another.

    The reason for an end user to purchase DW from a reseller is to leverage the knowledge, experience & resources of said reseller. A major portion of those resources include knowing the best practices learned from other customer’s installations. When we as a reseller, develop those processes within a given market segment, it behooves us to share that knowledge with other customers with the same needs.

    So, let’s say for example, that this week I begin an install for a new customer, with a need for considerable customization of their DocuWare Installation. Because of our experience, we remember that we did something very similar for a customer last year. So we make a copy of the file cabinet structures that we did for a previous customer, as a XML file, then use the XML file as a basis for a new cabinet on the new customer’s server.

    It may seem like this wouldn’t save much time, but for County Governments in the State of Indiana, they are not allowed to actually dispose of their paper documents unless they have them also copied onto Microfilm and burn the digital images onto WORM media. DocuWare makes that possible by allowing us to limit the disk capacity size. However, when you limit the size, it doesn’t by default check the boxes to automatically create a new disk and then switch to it. When you create numerous file cabinets from scratch, it is easy to overlook those seemingly minor details. But some months down the road, when the customer is not allowed to save any more documents, it becomes a headache that could have been prevented.

    The same thing applies to File Cabinet profiles and dialogs, why should we have to recreate Read Only, or any other consistent type of profile, when they are the same 95% of the time. And we always create Accessed by, Modified by & Stored by fields and dates, which are auto-populated within the dialogues. Just the time required to set up those 6 fields to work properly for each and every file cabinet is considerable. Keep in mind, that one of our customers has over 50 file cabinets.

    Any time that you have to recreate something from scratch there is an increased chance of making mistakes.

    In every previous version we could at least copy a file cabinet structure to the same version of DocuWare or a newer version of DocuWare. Since we have never been able to copy a file cabinet to an older version, we are required to keep an old version running inside of our office. We have a division which scans paper documents for our customers, indexes them and stores them into file cabinets. We then copy the file cabinet structure from our server and use it to create the file cabinet on the customer’s server. Then we can copy the documents to baskets, upload them to the customer and easily store them in their file cabinet. To do this we can’t have a newer version of DW, than the oldest version installed on any of our scanning customer’s server.

    But lo and behold with the latest and greatest release, we can’t even copy from one version to a newer version. DocuWare is supposed to be improving, not going backward! It works all the way up to 6.1.

    Here is the following advice that I got from your technical support department:
    Unfortunately, there is nothing we can do in this case. DocuWare 6.5 made numerous changes to the database and as such the structure of the XML file changed. There is a lot of new information that is present in DocuWare 6.5, that is not present in 6.1. As such, DocuWare cannot process the older XML files. Unfortunately, there is also no conversion tool to get around this issue. One would have to be written from scratch, which is not feasible. The best suggestion that I can give you is to import that XML file into a DocuWare 6.1 system, and then to upgrade that system to 6.5. You can then export the settings file as the correct version.

    So what you’re saying is that anytime I want to utilize some existing resources from another customer, I should create a fresh install somewhere of the same version of DocuWare that the existing customer is using, then export the settings from the customer’s installation, & restore those settings into my temporary installation & then upgrade the temporary copy of DocuWare to the version that the new customer is using. Just to copy something as routine as a File Cabinet. It was bad enough that we couldn’t copy something to an older version, but we understand that is normal in the software world. But we’ve always been able to copy forward. I just copied a customer’s 4.6 File Cabinets into a new DW 6.1 install for them last month.

    Another possible workaround just came to mind. Do you need just the fields, or do you need the profiles and dialogs as well? If you need just the fields, you could import the ADF structure file. That would at least get you the fields and that file is version independent as far as I know. You can find the ADF structure file in the ‘cstcache’ folder. It should be under the ‘C:\Windows\Temp’ folder. In that ‘ctscache’ folder, you will see some additional subdirectories that are named as GUID’s. Those GUID’s are the GUID’s of file cabinets. Find the cabinet you want, and in that directory should be the ADF file. I believe this has to be done on a system that is running the Windows Client.

    If the upgrade process has the conversion tool built into it, then it would not have to be built from scratch. I just checked to make sure that I can use a XML file from way back in Version 5.1b and import it into Version 6.1. We all know there were many more database changes between those versions than between the last two.

    In general the import of a file cabinet structure works also in between different versions. However, sometimes there are bigger changes, that make this process much more complex. In these rare cases we do not see any other chance than to be only import from a similar version.
