Allow additive assignment of Tasks (Roles + Users + Variables)
It would be really super helpful if Tasks could use additive assignment throughout. This especially is true for escalation / rerouting. For example to add the a manager when escalating, so that the original person still can act on the task as well.
As it is now, this won't work. Consider the scenario:
- An incoming document triggers a workflow.
- The document has an index field "Assignment" and it's value is "Joe"
- A User-type global variable is populated with the value from "Assignment"
- The workflow assigns the document, using that variable, to Joe.
- A task requiring Joe's decision is overdue. The task escalates to Manager, Rob.
- Joe can no longer access the task to perform the decision.
- Manager Rob says "hey Joe, do that thing, we need it right now" but Joe cannot. Only Rob can now.
Other things can be assigned to an additive combination of Users, Roles, and Variables. I can add Roles and Users to a notification. Or to a Document Tray. Or to a Task List. It should be the same for the tasks as well. In this case, the manager could already be assigned to the task, and just receive a notification when it's overdue.
Quite related: It also would be helpful in this case to customize the TO: field of the initial notification of a Task. I'm not sure why this is locked down to only be allowed to go to the users currently assigned (reminders and escalations can go to any additive combination of roles, users, and variables but the the recipient list initial of the notification cannot be changed). I mean, I get it, the links to the Task or Task List wouldn't work for those not assigned, but a document link would let them still see it. The verbiage of the notification is down to the person setting it up, anyway. If I want to assign a Task to a whole team of people, but only notify a certain person (coordinator on the team maybe) then I must create a separate notification before the task, and it cannot have a link to the task.
The limits here can combine to be very restrictive when configuring workflows to meet the endlessly different needs and preferences of our customers.
