Allow workflow global variables in SQL query to retreive external data.
I'm not sure if this is a formatting issue, a bug, or simply unavailable but when building a "where clause" in a workflow for assigning data from external data, I select a workflow global variable as the comparison but it always returns null.
Example: ENTRYTYPE="PROJECT" and PROJECTNAME=GV_gProject
However, if I simply replace "GV_gProject" with the actual hard coded string, the result is correct, so it the query is correct but the GV is not being placed into the query it would seem.
Because the wizard provides access to the global variables, this should function.
For the time being…

Stamps and annotations in notifications Workflow Manager
It would be an interesting idea to add the possibility to send documents with stamps and annotations attached in a task using email notifications.

Allow edits to the web page
Currently on the v 6.7 web page there are three options for login, Docuware Account, Active Directory and guest. We only have a single organization so we do not use that filed and the user leaves it blank. The Windows Account page will not be used from the outside. The Guest account is disabled, as we only use the Docuware account option. I would recommend the following options be enabled:
1. If there is a single organization and that field will not be used, allow it to be disabled to avoid confusion on behalf of the end users.

Improve use of Workflow System Variables
1) Create a workflow in Workflow Designer.
2) Specify a trigger (it doesn’t matter what it is).
3) Insert an ASSIGN TO activity and assign the task to user ID "A".
4) Insert an ASSIGN DATA activity and set a file cabinet index field to the Workflow System Variable “Assigned to”.
The index field should now contain the user ID "A" assigned in step 3. However, the index field is empty.
5) Insert a TASK activity. In the Decisions tab, Assign to sub-tab, assign the next user to "B".
6) Insert an ASSIGN DATA activity and set the same file…2 votesThis should be somewhat solved with version 6.9. Both issues (after step 4 and after step 7) could not be reproduced by me. We know, that CurrentUser has some drawbacks, but some customers use it like it is and if we change the behavior, it will break their workflows. Recommendation for getting the user of the currently opened task is to use the variable “TaskUser” which is new with version 6.9.

The "assign to" allows to use variable only for one user
The "assign to" allows to use variable only for one user.
If you want to assign tasks dynamically to multiple users or role, you need to use a task but it is not practical.
To dispatch tasks in the beginning of a workflow we do not want a task for doing that.
We should use "assign to" with variable more complexe like 'role' or 'keyword' like in the task

Change Password at Next Login
It would be incredibly handy to have a feature similar to Windows where a DocuWare administrator could change a password for an end user, and then have that user prompted to change password at next login.

Within the new user management you can send out an email to the user to change set the password. -
Operations with Dates
i.e. "Add 18 months to Start Date" in a workflow to give the ability to send email notifications 1 month before the contract is over or to index another date field, etc

Allow to complete a form once filled by a costumer
DW introduce forms in 6.8. After following the webinar I had a suggestion. In 6.8 the form will be saved as PDF after it is filled in. Now, what I want is this e.g. after a costumer filled a form and send it to our company we must be able to complete the form by filling additional information. If you get this now as PDF you can not complete this. Another additional feature would be great. Once the costumer send a filled form, the department must received a e-mail notification of an incoming form saved in DocuWare.

Simplify access to file cabinet data on docuware cloud
On DW Cloud, Right now if you need access to the dwstorage user or storage date time, you need make a request cabinet transform the sqllite database and convert to excel the file cabinet data, all of this to make a simple report for example too see the document production of the past thursday, if you need to make this every day is really hard to do it, maybe make access to read data (add-on) with excel will be great just for read file cabinets data
2 votesThank you for your contribution. You can export file cabinet data right from the result list. On each result list there is a three dots icon in the upper right corner. Click there and choose “Export to CSV file …”. This file can then be openend in Excel.

Ability for Multiple Choice Field to Allow Not Mandatory
Currently, Multiple Choice Fields in DocuWare Forms are mandatory. It would be nice for this to have the ability to be mandatory or not, like every other field in DocuWare Forms.

More Wizards to tie overall Administration Together.
For Example When setting up Select Lists. You have to Create a Select List, then you have to have a Location, then you have to assign the select list to a field in a cabinet, then you have to go to all the different dialogs that you want it to appear in. So I think we need more Wizards that bring the creation and administration of objects like this more together so that it is a Single Process. And not just for select lists. Docuware does these types of things all through the…

In Workflow Designer could you please make so you can move the Form Fields up or down
When creating Tasks, under decisions and the Forms Tab, there currently is no way to move the fields up or down to put them in a different order. This creates issues if later someone wants to add new fields but put them in a specific order you would have to delete them all and start fresh.

AutoIndex Jobs: Modify Scheduling on Event so that it can be based on Documents Stored in A File Cabinet
You can currently schedule AutoIndex Workflows using either a time/date or on Event. On Event though only references the external file modifications. It would be nice if you could modify the Event to be based on changes to the DocuWare File Cabinet ( i.e. New Documents/Edited Indexes/etc)
I had a customer run into a situation where this would be more manageable if this option existed.

Docuware should be able to keep track of all documents deleted from the file cabinet and by whom
Documents deleted in the file cabinet should be archived in a repository
1 voteThis idea can be easily setup by an administrator. The procedure is the following:
1. Remove delete rights for all users exept the administrator
2. Add a stamp which sets the status field to e.g. “deleted”
3. Add a profile with index filter hiding documents with the status “deleted”The document is then never deleted, but unvisible for normal users. The stamp will contain username, date and time.
If you want to remove the document from the file cabinet, you could additionally do the following:
4. Create another file cabinet with the same structure
5. Use the Export-Workflow to move the document from the source file cabinet to the new file cabinet. -
Ability to set fields to 'force filtering' on a store dialogue
When configuring a new store dialogue, it would be good to be able to set a field's Select List to 'Filtered Only' or something similar.
When trying to set dependant fields for selective select lists it can be annoying for users to have to see the whole select list, click filtering and then choose the correct value.

Add the ability to modify Functions of the Document History Dialog or Inherit from Result
We have a situation where we need to limit the options available in the right-click menu of the Document History dialog as you can do so with a Result View Dialog under the Functions section in the DW Administration (See Screenshot).
Originally, we anticipated that the Document History dialog would inherit the permissions and options, including which hidden functions from the Result View dialog the user has rights to or used to view the document history of the record (See Screen Shot).
The request is to give the ability to modify the Document History Dialog or set it to inherit…

Choice to install x86 or x64 Fulltext Server
DocuWare installs x86 Fulltext Server and has no option for x64. In support, we have seen cases come in that require x64 Fulltext due to number of documents being indexed and amount of RAM that can be allocated to x86 FT. It would be helpful if the option for x86 or x64 Fulltext was available, or to just make Fulltext use x64 only (that wouild restrict some installs though if they're 32bit OS')
