Indexing alias information
For indexing, validation, intelligent indexing, external data and normalization it is nearly impossible for all incoming documents to have the exact same data all the time.
Example:
IL Illinois Ill
City of Springfield, Springfield City of
CWLP, City Water Light and Power
EPA, Environmental Protection Agency, IEPA, Illinois Environmental Protection Agency, Illinois EPA
All of the above are from different documents I have received. The file cabinet data I want them stored by are
IL
City of Springfield
IEPA
Docuware had a good idea with the index cleaner but in this case I want to use the tool as in integrated tool that allows Docuware to check the data against a data set and find the proper item to store.
I can do this with a number of clients but it is as an autoindex function. But it means teaching users how to keep up the alias list. If during input the system would run entered information against an ALIAS list and if there was not a match then ASK the user if this is a new item for the select list or an ALIAS to another index. We could suggest items based on the users information at hand. This would take tile at first but in short order the data in the system would be normal going in instead of dealing with anomalies post storage.
