Problem Description:
Currently, in DocuWare 7.11, the DocuWare Viewer only supports displaying "Simple Markup" from Microsoft Word documents. This creates a significant issue for users who rely on "Markup: All" to review tracked changes, including formatting modifications, deleted text, and, most critically, comments. When opening a Word document in Microsoft Word, the default behavior is to display "Markup: All"—even if the document was previously saved with "Markup: None". This ensures that all tracked changes and comments remain visible for the user, preventing accidental oversight.
However, DocuWare’s inability to display "Markup: All" disrupts this expected behavior, leading to inconsistencies in document review workflows. The most problematic consequence of this limitation is that comments are completely hidden when only "Simple Markup" is displayed in DocuWare. This means that crucial context, explanations, or discussions within documents are not accessible to users viewing them in DocuWare.
Why This Needs to Be Addressed:
- Consistency with Microsoft Word’s Default Behavior:
Microsoft Word always displays "Markup: All" upon reopening a document, ensuring that no tracked changes are overlooked.
DocuWare should align with this behavior to provide a seamless experience for users transitioning between Word and the DocuWare Viewer.- Loss of Critical Information:
"Simple Markup" hides comments, which are often essential for document collaboration and approval processes.
Users relying on DocuWare for document review may miss key details, leading to misinterpretations or incomplete reviews.- Inconsistent Document Visibility
A document viewed in Microsoft Word displays full markup, but when opened in DocuWare, key elements disappear.
This forces users to download the document or open it in edit mode to open it separately in Word, disrupting workflow efficiency.Suggested Improvement:
DocuWare should enhance its viewer to fully support the "Markup: All" setting from Microsoft Word. This would allow users to see all tracked changes, including formatting adjustments, insertions, deletions, and—most importantly—comments.Optimal Solution:
Allow users to choose their preferred markup type within the DocuWare Viewer.
Users should have the flexibility to switch between "Simple Markup" (current behavior) and "Markup: All" (full tracked changes visibility).
This would ensure that different user preferences and use cases are accommodated. As a fallback, if no user selection is possible, the viewer should default to "Markup: All" to prevent any loss of critical review data.
