Support for OAuth for SMTP Configuration
Dear DocuWare Team and Community Members,
I would like to propose an urgent improvement that can significantly enhance the security and reliability of DocuWare. Currently, DocuWare only supports SMTP Basic Authentication for SMTP configuration. While this is undoubtedly a convenient method for sending emails, it may no longer be sufficient in today's increasingly interconnected and security-conscious world.
Microsoft and other industry leaders recommend the use of OAuth for secure communication with email servers. OAuth provides additional protection against unauthorized access and security risks that can arise when using Basic Authentication. Workflow Designer - Add Attachment as task completion option
Create an option for attachment of documents to existing workflow manager for completion of task and have the document staple to the current file. Ex; Attach a shipping document to a PO for verification.
Currently the option to clip documents to it and moving the workflow is an option, but am having it requested that an attachment HAS to be placed before proceeding.

Merge and Web Form
We have several forms where part of the data gets merged onto a filled out form that we give to the client, and the rest of the information is lost. I've worked around this by creating a basic word document to hold on to the excess information that is only used internally, however it would be nice if it was possible to use the merge form for the information you want on to a specific document, AND the web form layout that captures ALL the data.

Enterprise Server needs to allow for different Workflow Engine URL based on local web server.
Customer has a main office location (A) and a secondary location (B). Each has there own DocuWare Workflow engine instance.
When an email notification from the workflow engine on B is emailed it uses a URL for site A, site A also uses a URL for A.
A needs workflow URL's for A
B needs workflow URL's for BCause: A & B are different domains and users of B do not have access to A through the company network.

File Cabinet Creation - Allow the order of fields to be carried over to all dialogs
The most annoying part about setting up a file cabinet is sorting the fields in each of the dialogs. It would be nice if I could check a box that would take the sorting of the store dialog and transfer it to the Storage, Results List, and Info Dialog. This would knock off at least 10-20 minutes from every cabinet build.

Task List: Assign a certain result list per task, per workflow, for workflow controllers.
Result lists are useful. Having multiple result lists is a necessary feature which exists for good reason. However, all users of all task lists have the same result list configuration. Whichever result list is picked as "Default" is used for every task list system-wide.
Example: Accounting users (especially workflow controllers) should be able to have different options available compared to approvers.
This also goes for the "edit index entries" dialog of the result list. Even if an approver has (and needs) permissions to edit certain fields for workflow tasks, we do not want to present this as an option when…

Multi column select list filtered by hided fields
I set a multicolumn select list to a field and added a filter to another field that has a fixed value.
it would be nice if, hiding the fixed field, the filter continued to work.10 votes -
Allow shared mailboxes in connect to mail
I've been informed that shared mailboxes do not work with Connect to Mail.
However with the move to Exchange Online, and it being licensed per user, we have to use shared mailboxes not user accounts with a mailbox attached.
Being able to use shared mailboxes would reduce cost and user management complexity.10 votes -
Date/time for forms
It would be nice to have a Date/Time form ability instead of simply just Date. This would work great for forms used for meeting scheduling

Linked documents based on table field.
Using a table field to record the information of the delivery notes / orders / etc linked to the invoice, it would be useful to be able to configure the linked documents based on the table field.

Enable Administrator to see document trays of all users
Use Case Example:
A file cabinet to which user-created document trays are assigned is to be deleted. The administrator has no permissions on these trays, so it is impossible for the administrator to find out which baskets these are (unless via the database).
Even without administering right, it should be possible for administrators to find out which document trays exist and which users they are assigned to.

Add dialog checking to the Integrity Check tool
The integrity check tool does not scrutinize dialogs for things like duplicate fields, or fields that don't exist in the file cabinet. These problems can happen if there is a database timeout when adding or deleting a field in a file cabinet. When it happens, the only way to repair it is manually inspect the settings column for each dialog in the database.

Allow search inside workflow designer.
Allow search of keywords inside designer. It is very difficult to find where you may need to make changes to steps, dialogs or assignments in the workflow designer. This is especially true in large workflows. You should have the ability to search the entire workflow canvas for terms to easily isolate and change activities. Additionally, it would be useful to have a code view or code export to allow for better debugging and visibility into the workflow activity without having to use the GUI for all development.

Automatically change label names when you change a database field name
Currently, when you change the name of a database field, the dialogs all keep the old field name as a "Label". This forces me to go into every dialog (including result list and index dialogs) and erase the label so that it matches the new field name.
When I'm changing a database field name, it is because a customer wants the field name to change everywhere.

Import configuration for Cloud FTP
DocuWare Cloud offers an FTP Server to use as an import source. This is very useful for small businesses who do not have on premise resources to run Desktop Apps Import 24/7. However, FTP Import does not allow dividing or indexing documents. Being able to assign a DW Import configuration to an FTP folder would be a big help to such customers.

Allow to configure automatic stamps with blackground colour in Workflow Manager
As you can not set an specific location for the automatic stamps in Workflow Manager, sometimes it can be stamped over the text of the document....if you can select a colour for the background of the stamp, at least you can see better the text included in the stamp

Development mode for Workflows
It would be nice to have a switch that would enable/disable notifications of non-controllers for workflows. This would allow the notifications to be put in place during testing and then enabled en masse when rolling the workflow out.
It would be even better if there was a way to redirect all notifications to the Controllers/Admins on a development workflow. That way the workflows can be confirmed as working, without spamming the end users before the workflow is ready.

Predefine workflow job that converts DWTIFF (DW5.x and DW4.x) to a new PDF format
If you are dealing with very large documents that we were in DWTIFF format and now you want to bring back to the web basket it take extremely extremely long time to convert to a new PDF format. It works but it will be better if the conversion so done in the server side so that the clients don’t have to suffer
8 votesCurrently there are no plans to have an background job which converts tiff files to PDF. Main reason is, that this could take a long time and bring high load to the Server. On the other side we know that less than 1% of “old” documents are displayed after they are archived (on average).

Improve Administration Tool
Improve the administration tool. First by consolidating all of the different tools and utilities required to administrate Docuware. Create this new Administration tool to where you can do your administration in 1 spot and not in 3 spots on 1 utility and 1 spot on another. 1 location for 1 setting. Inhance the security setting, GROUP,ROLE,PROFILE. TOO MUCH.
